Multi-office premises need a clear visitor management policy

BASE Bordon Innovation Centre, an innovation centre for start-ups and early-stage businesses, already has 74% occupancy in its first year and more lined up for next year.

The building used to be a British Army officers’ mess, before it underwent an 18-month refurbishment courtesy of a £4m Local Growth Fund investment from Enterprise M3 Local Enterprise Partnership (LEP). Now it has 31 office spaces, coworking spaces, meeting rooms, a business lounge, virtual offices and business growth support.

Myf Plunkett, BASE Bordon’s centre manager, said: "I’m proud to say all six original customers are still with us today and on their own paths and growth cycles – it’s very exciting to see.

"Twelve months on and we are now a thriving home to 29 businesses across our coworking space, private offices and business lounge. They are from varying industries including fintech, software, aerospace, creative, recruitment, legal and accountancy."

BASE Bordon is one of four innovation centres in Hampshire managed by Oxford Innovation – the others are Portsmouth Technopole, Fareham Innovation Centre and Ocean Village Innovation Centre in Southampton.

A large complex used by many different businesses and industries needs to have a great visitor monitoring system. This would minimise accidental disruptions from people ending up in the wrong place, and would also help to ensure safety during fire alarms.

Time and Attendance South East offers the Management of Contractors and Visitors Software (MCVS) to help everyone from staff to visitors to the postman be in the right place at the right time.

This network-based application allows you to advance book visitor appointments and pre-book on site contractors, using either the PC based application or a user’s Internet browser. Unlike the typical “sign-in” book, this complies with GDPR because visitors can’t see each other’s data and it is only kept for as long as it is required.

If there is no reception area in your particular workspace, or if there is not a designated receptionist, we can also offer you the MCVS Unmanned Reception Console, which enables visitors to check themselves in for appointments using a touchscreen. This can send an email directly to the person who will be hosting them, and logs them in on the central system.

With all visitors and contractors safely logged into the system, you can take advantage of our fire roll call system. This automatically prints off a list of who is logged/clocked into the zone covered by our system when the alarm goes off.
